Enhancing delivery of internal email communications

Dear Faculty and Staff,

Based on your feedback in the 2025 Employee Engagement Survey, the university is taking steps to ensure that official communications — from payroll notifications to universitywide updates — reach every employee reliably and securely.

A cross-functional working group is leading a multi-phased project to improve how we communicate across our complex organization. This involves updating our requirements, platforms and processes over the coming months.

The first set of changes will be implemented on Thursday, April 9.

What Is Changing
Starting April 9, all current employees will receive their official communications at their NetID@tamu.edu email address, which will be reflected in Workday and cannot be altered by individual employees.

Why This Change Is Necessary
Previously, employees could manipulate their primary work email address within Workday, resulting in personal emails or incorrect emails being used. With this change, employees can rest assured they are conducting university business through their university-approved email address, supporting each employee’s ability to receive official university communications consistently and reducing the risk of personal email being subject to open records requests by eliminating the use of it for official communications and university business purposes.

What To Expect From This Change

• If you already use a NetID@tamu.edu email address: You likely won’t notice a difference. You can still maintain a secondary personal email in Workday as a backup, though it will not be used for official business.

• If you use a vanity email (e.g., name@unit.tamu.edu): In most cases, you will see no change, as these typically deliver to the same inbox. If your unit’s specific setup requires action, you will receive direct guidance shortly. Note: College of Agriculture and Life Sciences employees will continue to use their Ag NetID as their official email.

• If you were using a personal email: Official emails will no longer be sent to your personal account. You must log in to your NetID@tamu.edu inbox to review payroll announcements, Workday notifications and university updates.

Looking Ahead
Over the next several months, the university will continue rolling out additional changes that are critical to ensuring emails reach the intended recipients in a timely and consistent manner. We are committed to making these transitions as seamless as possible and will provide advance notice for all future updates.
